Accounts Payable-contract position

ESG is currently recruiting a Purchase to Pay Administrator to join the Finance Department on a temporary basis (mat leave coverage). 

Job Description

Duties and responsibilities include:

  • Matching supplier invoices to purchase orders and receiving documentation ensuring that authorization documentation is complete and adheres to corporate policies
  • Entering supplier invoices to Accounting system with proper general ledger, department and project coding and ensuring proper coding of taxes
  • Reviewing expense reports ensuring that back up and authorization documentation is complete and adheres to corporate policies
  • Processing employee expense reports in Accounting system with proper general ledger, department and project coding and ensuring proper identification and coding of taxes
  • Generating cheques and/or electronic fund payments of invoices, expense reports and other payments, and marshal for signatures/approvals as required
  • Responding to enquiries from vendors and employees regarding invoices and payments
  • Completing credit documentation for suppliers and set up of new vendors in GP
  • In consultation with ESG management, seeking opportunities to maximize cash flow by obtaining corporate discounts, extending payment terms or utilizing other strategies
  • In consultation with Finance management, seeking opportunities to maximize efficiency within the Accounts Payable function
  • Maintaining vendor and purchase order files
  • In consultation with Finance Management, maintaining reconciled accounts payable list and Credit Card ledgers.

Qualifications and Experience

  • College diploma in accounting, administration or similar area
  • 2-3 years of experience in related fields
  • Previous experience with MS GP or knowledge of any accounting software an asset
  • MS Office, Word Excel
  • Strong organization skills to manage documentation, enquires and daily work flow
  • Strong interpersonal and communication skills for interaction with staff and suppliers
  • Legally eligible to work in Canada
